Terms of Service
Effective October 13, 2026
These terms apply when you use this site to register for a Telluride Science workshop, request or pay for lodging, or use our lodging partner portal. By doing any of those things you agree to these terms, to our Participant Guidelines, and to the cancellation policy shown on your workshop’s page. Our Privacy Policy explains how we handle your information.
1. Registering
Our workshops are by invitation, as described in the Participant Guidelines. Each registration is for one person. Please give us accurate information, and keep it up to date by emailing us if it changes. We may decline or cancel a registration that does not meet our guidelines; if we do, we will refund what you paid for it.
Prices are shown on each workshop’s page, in US dollars. Your registration is confirmed when your payment is received, or straight away if nothing is owed. You can pay by card through Stripe, or by check or wire using the instructions we send you. A registration paid by check or wire stays pending until the money arrives. When paying by card you may add an optional donation of 3.5% to help cover card processing costs, which is tax-deductible to the extent allowed by law. We email a receipt for every payment.
2. Cancellations and refunds
The cancellation policy on your workshop’s page applies to your registration and lodging. Unless that page says otherwise:
- registration fees are refunded less a $25 cancellation fee;
- lodging canceled more than 30 days before check-in is refunded less a $100 cancellation fee;
- lodging canceled within 30 days of check-in is not refunded, and any unpaid balance remains due, because we have committed to the property for the room; and
- late arrivals and early departures are not refunded.
To cancel, email cindy@telluridescience.org about a registration or sara@telluridescience.org about lodging. Card refunds go back to the card you paid with. We return check and wire payments ourselves.
If we cancel a workshop, we refund everything you paid us for that workshop and its lodging. We are not responsible for other costs you may have, such as flights or other travel. We strongly recommend travel insurance.
3. Lodging
We arrange rooms at partner properties for our participants and the people traveling with them. Requesting lodging does not reserve a room: the property accepts or declines your request. When it accepts, we email you the price, how to pay, and the date by which you must respond. If you do not pay or choose a payment plan by then, the room may be released.
You can pay the full balance by card, or by check or wire. Where it is offered, you can instead save a card and we will charge it automatically before your arrival, on the date in your lodging emails, after emailing you a reminder. Your lodging is confirmed once it is paid in full or your card plan is set up.
You pay Telluride Science for the room at the price shown when the property accepts. Parking, pets, incidentals, damage, and anything else the property charges for are between you and the property. You must follow the property’s own rules. Unless your confirmation says otherwise, check-in is at 4:00 pm and check-out is at 10:00 am.
Lodging requests close a set number of days before each workshop. After that, please contact us for help. Lodging discounts, such as early-bird discounts, apply only on the terms shown on the workshop’s page.
Shared rooms. The person who books a shared room lists their roommates, and each roommate joins with the room’s code. Please list only people who have agreed to share with you. If the cost of a room is divided, each person who agrees to pay a share is responsible for paying it on time. If a share is not paid, we will contact the people involved, and the room may be held or released as described in our emails.
If a property cannot honor a reservation, we will try to help you find another room, and we will refund what you paid us for that room if we cannot.
4. Conduct
The Participant Guidelines, including their Code of Conduct, are part of these terms. We may remove anyone who breaks them from a workshop, as the guidelines describe.
5. Invitation letters and certificates
We issue visa invitation letters and certificates of attendance after your registration fee has been paid. An invitation letter supports your visa application but does not guarantee a visa. Visa decisions are made by government authorities, not by Telluride Science.
6. Participant lists
A workshop’s page may list participants’ names and institutions. If you would rather not be listed, email sara@telluridescience.org and we will remove your name.
7. Using this site
You must be 18 or older to register for a workshop or book lodging through this site.
Please use the site only for its intended purpose. Do not try to disrupt it, gain access you are not given, or collect information about other people from it. The links we email you, such as payment links, links to change your registration, and roommate codes, are meant for you. Keep them private, because anyone who has them can use them.
Lodging partners may use the partner portal only to manage reservations at their own properties, and must use guests’ information only to provide their stay.
8. Other services
Card payments are processed by Stripe under its own terms. Partner properties are independent businesses responsible for their own premises and services.
9. Changes to workshops
We may need to change a workshop’s schedule, speakers or venue. If we cancel a workshop, section 2 applies.
10. Disclaimers and limitation of liability
We work to keep the information on this site accurate, but rates and availability can change until a property accepts your request. The site is provided “as is”. To the extent the law allows, Telluride Science is not liable for indirect or consequential losses, or for the acts or omissions of partner properties or other independent providers. Our total liability to you is limited to the amount you paid us for the registration or lodging concerned. Nothing in these terms limits any right you have that cannot be limited by law.
We are not responsible for failures or delays caused by events beyond our reasonable control, such as severe weather, natural disasters, public health emergencies, or travel disruptions.
11. Governing law
These terms are governed by the laws of the State of Colorado. Any dispute will be resolved in the courts located in San Miguel County, Colorado, unless the law where you live requires otherwise.
12. Changes to these terms
We may update these terms from time to time. The version shown here, with its effective date, applies to registrations and bookings made after that date.
